General Rules

• Attendance: We kindly ask that you attend your appointment alone. Bringing family or friends may cause distractions during the session. This ensures we can focus fully on you and getting the most out of your time. If you have a prep coach, they are more than welcome to come along.

• Health: If you are unwell or experiencing any cold or flu-like symptoms, please contact us ASAP to reschedule your lesson.

• Punctuality: Please arrive at your scheduled lesson time. If you arrive early, kindly wait outside the posing room.

• Late Arrivals: If you arrive late, your session will still conclude at the scheduled end time out of respect for the next athlete. We are unable to extend sessions due to lateness.

One on One Session Times

• Schedule: Each one on one session runs for 45 minutes, which includes time for filming your progress and learning.

• Courtesy: To respect the schedule and ensure the next athlete's session isn’t impacted, we kindly ask that you exit promptly at the conclusion of your session. This helps us stay on schedule and ensure everyone gets the most out of their time with us.

One-on-One Posing Sessions/Package Purchases

• Validity: Sessions and packages are valid for 6 months from the date of purchase.

• Payment: Full payment must be made in advance at the time of booking.

• Price Changes: We reserve the right to alter prices without prior notice.

• Non-Transferable: Posing packages are for individual use only and are not transferable to another athlete

• All new athletes must begin with an 8 session posing package. One-off posing sessions are only available to returning athletes who have previously completed a package with us.

Subscription & Instalment Options

• Missed Payments: If a payment is missed, we reserve the right to cancel the remaining sessions. You will be liable for any unpaid amounts due under the terms of the subscription or instalment plan.

• Cancellation: If you cancel because you are no longer competing, the next scheduled payment will be debited as your cancellation fee.

• Payment Method Failure: If your payment method fails when Acuity tries to process a scheduled payment, your payment subscription will be cancelled. You will need to reactivate your subscription by updating your card details through the link in your confirmation email. There is no fee to reactivate but please note your next booking will be cancelled if the payment method isn’t updated in time.

Booking Process:

• After purchasing your package, you’ll receive an email with a link to book your sessions (please check your spam/junk folder)

• You MUST pre-book all sessions in your package in advance to guarantee your preferred session times (you can reschedule your sessions with no less than 48 hours notice.

  • Schedule each session 1–2 weeks apart where possible to maintain consistency.
    – Gaps longer than 2 weeks between sessions can impact your posing progress.

 

  •  Any unused sessions not booked in risk being forfeited and cannot be refunded or credited.

  •  It is your responsibility to schedule and manage your own bookings. While we do send confirmation emails, please set personal reminders and check spam/junk folders to ensure you don’t miss important communications.

Cancellation and Refunds

• Notice: You must contact us with no less than 48 hours' notice to cancel your session or package. Failure to do so will result in forfeiting your payment.

One-on-One Sessions

• Admin Fee: A $50 admin fee will apply to cancellations.

Posing Packages

• Admin Fee: A $50 admin fee applies for cancellations.

• Package Refunds: When you prepay for a package, you receive a discounted rate for multiple sessions. If you choose to cancel before completing all sessions, the discount will no longer apply. Your refund will be adjusted based on the standard per-session rate for the sessions already attended, along with a $50 cancellation fee deducted from the total refund.

Rescheduling One-on-One Sessions

• Notice: You must contact us with no less than 48 hours' notice to reschedule or transfer your session. Failure to do so will result in forfeiting your payment and session.

• Reschedule Limit: Rescheduled sessions must occur within 6 months of the original booking and can only be rescheduled once.

No Shows

• Failure to attend a booked session without notice will result in forfeiting that session without refund or credit.

Competition Rehearsals/Workshops

• Validity: Purchase is valid for the scheduled rehearsal or workshop and cannot be transferred to another date or another person

• Refunds: No refunds are available for competition rehearsals and group workshops as these are one-off sessions with limited spots. Once your booking is confirmed, your place is reserved and we are unable to offer refunds due to the limited number of participants that can attend.

Booking the Correct Posing Coach

• Responsibility: It is important to select the correct coach based on the federation you are competing in and your experience. This information is listed in our booking info and package description prior to purchase.

Please ensure you select the correct coach when booking. We cannot guarantee availability with another coach if changes are needed later due to an incorrect booking. If a cancellation is necessary because the wrong coach was booked, our cancellation policy will still apply.

Check-In Videos

• Submission: One check video per posing session. Due by each Monday 8pm

• Submission Method: Submit your video via Whatsapp to your posing coach via the links provided in our Instagram bio. Detailed feedback will be provided through LOOM.

·  No check-ins are required if you’re seeing us weekly.

·  If your sessions are more than 2 weeks apart, please send one check-in between those sessions.

·  If your sessions are 3–4+ weeks apart, this does not mean weekly video submissions. We can only assess one video per booked session.

Interstate Posing Sessions & Competition Rehearsals/Workshops

• Cancellation & Refunds: Due to travel costs, no refunds are available for interstate sessions, competition rehearsals and group workshops.

Filming & Photography

• Consent: All posing sessions and workshops are recorded. You consent to photographs/video recordings for use in any media worldwide. You agree to credit Donna Atkins – The Posing Coach & The Posing Locker – for any use of the content.

• Personal Use: All photographs and video recordings delivered to you are for personal use only. They may not be used for commercial purposes, including but not limited to advertising, marketing, or any form of business promotion, without prior written consent. Redistribution, resale or any unauthorized public use is also prohibited.

Force Majeure

We will always do our best to deliver your sessions as scheduled, but in the event of circumstances beyond our control, we may need to postpone or reschedule. This includes (but is not limited to):

  • Natural disasters (e.g. severe weather, floods, fires)

  • Public health emergencies or outbreaks

  • Power outages or major technical failures

  • Government-enforced restrictions, lockdowns, or travel bans

  • Transport disruptions or studio closures due to safety concerns

In these situations, we are not liable for cancellations or disruptions, but we will offer a credit or reschedule option where appropriate.

Please note: This does not apply to competition rehearsals or group workshops, which remain non-refundable due to their limited capacity and one-off nature.
